The facility-specific Case Mix Index, or CMI, is a key Medicaid rate component for Skilled Nursing Facilities in Tennessee. Ensuring that each facility’s MDS is both accurate and submitted timely is crucial to guaranteeing accurate Medicaid reimbursement. Today, we want to talk about how the CMI is used and some of the key MDS reporting dates.
The Tennessee case mix reimbursement system utilizes a time-weighted CMI value calculation in which resident MDS assessments are weighted based on the number of calendar days the assessment is active within a given semi-annual rate period. This facility-specific CMI score is then an input in the Medicaid per diem reimbursement rate as a value in the Direct Care Case Mix and Direct Care Non-Case Mix component calculations. Because a facility’s CMI is a key component to Medicaid reimbursement, making sure your facility submits its time-weighted case mix index report in a timely manner is crucial.
1. Dates highlighted in tan are the cut-off dates for MDS transmission of the Preliminary Time-Weighted Case Mix Index Report – occurring on the 15th day of every third month.
a. For 2025, the dates are as follows: March 15, June 15, September 15, and December 15.
2. Dates highlighted in blue are the posting dates of the Preliminary Time-Weighted Case Mix Index Report – occurring on the 1st Tuesday of every month following the end of each calendar year-end quarter.
a. For 2025, the dates are as follows: January 7, April 1, July 1, and October 7.
i. Please note that the Preliminary Time-Weighted CMI Resident Roster Report is provided as a tool for use by the facility in determining whether any missing or incorrect records are noted and allows the facility a review period to evaluate assessments/records displayed on the roster before the cutoff date of the Final Resident Roster CMI report.
3. Dates highlighted in yellow are the cut-off date for MDS transmission for the Final Time-Weighted Case Mix Index Report – generally the last day of the month following the end of each calendar year-end quarter.
a. For 2025, the dates are as follows: January 31, April 30, July 31, and October 31.
4. Dates highlighted in orange are the posting dates of the Final Time-Weighted Case Mix Index Report – generally the 3rd Monday of each month following the cut-off dates listed in #3 above.
a. For 2025, the dates are as follows: February 17, May 19, August 18, and November 17.
For example, for the reporting period ending May 31, 2025, the following dates will be critical:
· Preliminary Time-Weighted Case Mix Index Reports due – June 15th
· Preliminary Time-Weighted Case Mix Index Reports posted – July 1st
· Final Time-Weighted Case Mix Index Reports due – July 31st
· Final Time-Weighted Case Mix Index Reports posted – August 18th
