Time Management Tips for Accountants: A Guide from Your Friendly Tax Operations Coordinator

As an operations staff who has worked closely with accountants for a couple years now, I’ve picked up some essential time management tips that can help streamline your workflow and reduce stress. I know how demanding your job can be, with deadlines looming and clients relying on your expertise. So, let’s dive into some practical advice to help you manage your time more efficiently and achieve that elusive work-life balance.

1. Prioritize Your Tasks

Start your day by listing all the tasks you need to complete. Identify which ones are most urgent and important. Use the Eisenhower Matrix to categorize tasks into four quadrants: 

  • Urgent and Important: Do these tasks immediately.
  • Important but Not Urgent: Schedule these tasks.
  • Urgent but Not Important: Delegate these tasks if possible.
  • Neither Urgent nor Important: Eliminate these tasks.

This method helps you focus on what truly matters and avoid getting bogged down by less critical activities.

2. Use Time-Blocking

Time-blocking is a fantastic technique to ensure you allocate sufficient time to each task. Break your day into blocks of time dedicated to specific tasks or types of work. For instance, set aside a block for client meetings, another for your production work, and another for administrative work. Put these blocks on your calendar and stick to your schedule as closely as possible to maintain productivity.

Use project management software like OneNote, Planner and your in-house tracking system, for us, it’s Workflow,  to keep track of tasks and deadlines. Calendar apps with reminder features can ensure you never miss an important meeting or deadline. 4. Minimize Distractions

Distractions are a major time sink. Create a work environment that minimizes interruptions. If possible, designate a quiet workspace where you can focus. Use white noise on your phone or noise-canceling headphones to block out background noise. Set specific times to check your email and social media, rather than letting these interruptions dictate your day.

5. Delegate When Possible

Don’t hesitate to delegate tasks that can be handled by others. Whether it’s a staff accountant, an intern, or an admin assistant, delegation can free up your time for more strategic work. Ensure you provide clear instructions and check in periodically to monitor progress.

6. Take Breaks

It might seem counterintuitive, but taking regular breaks can actually improve your productivity. Step away from your desk, stretch, and get some fresh air. Short breaks can help you recharge and maintain your focus throughout the day.

7. Set Realistic Goals

A cluttered workspace can lead to a cluttered mind. Keep your desk and digital files organized. Use folders and labels to easily locate documents. An organized workspace can save you time and reduce stress.

Finally, remember that your well-being is paramount. Make time for activities outside of work that bring you joy and relaxation. A healthy work-life balance can lead to greater productivity and job satisfaction in the long run.
